Reception procedures

 

  • The master of the ship or agent acting on behalf thereof shall inform, before the vessel’s entry into Port of Gdansk, about the waste and residues for disposal at the port reception facilities using the Polish Harbour Information & Control System (PHICS).
    The master or agent of the ship is responsible for the authenticity of data entered into the PHICS reporting form insofar as type, quantity and content of waste onboard the ship is concerned.
    • at least 24 hrs. in advance of the vessel's entry to the port
    • immediately upon receipt by the captain of the ship of the information determining the port of destination, if it is not available 24 hrs. in advance of the arrival at the port
    • at the latest at the time of departure from the last port, if the time of voyage to the port of destination is shorter than 24 hrs.

  • The master or agent of the ship not entering into port - for discharge of waste at port reception facilities shall notify the Port Dispatcher about the waste and sewage for discharge using FORM 1 that can be filled out online (click here to access the online system) or filled out and sent by fax or e-mail:*
    * the above-mentioned procedure shall also apply in the case of the PHICS system failure

    The ship will be fully responsible for any consequences resulting from failure to comply with the aforementioned deadlines and for cancellation of waste reception services upon entry into port.

    In case of the ship’s master, agent or other crew member breaching the regulations on waste reception at port facilities and failure to notify the port of vessel-generated waste or cargo residue remaining onboard the vessel i.e. failure to provide within a required deadline information regarding waste onboard the vessel using the Polish Harbour Information & Control System PHICS, administrative fines shall be imposed by the Director of the Maritime Office in Gdynia [Journal of Laws 2012.1244, Act of 16 March 1995 on the prevention of pollution of the sea from ships].

  • Exempted from the obligatory submitting information concerning waste on board the vessel in advance of arriving at the Port of Gdansk are:
    • fishing vessels
    • sports vessels licensed to carry up to 12 persons

  • Exact time of waste reception from the vessel shall be agreed by the "Recipient" with the captain of the ship or his Agent

  • Vessel or its agent shall obtain a waste delivery card confirmed on both sides, issued by the "Recipient" and comprising information concerning type and amount of received waste or waste water and date of reception
